The role:
An exciting opportunity has arisen for an experienced EA / Office Manager to join a highly regarded law firm in their Melbourne CBD office.
In this hands-on role, you will provide EA support to the senior leadership team of 3, along with overall support for a small, tight-knit team.
You will be responsible for delivering high-quality, business-aligned administration support across the below areas:
Executive Assistance - 70% of role
Office Management - 30% of role
The successful candidate:
You are a seasoned EA with at least 5 years experience in a similar role. You will have worked in a professional services or legal environment and have a strong understanding of what a role of this nature requires, both practically and from an emotional intelligence standpoint:

Job description
- EA / Office Manager - Fantastic permanent opportunity to join a thriving business on their journey

The role:
An exciting opportunity has arisen for an experienced EA / Office Manager to join a highly regarded law firm in their Melbourne CBD office.
In this hands-on role, you will provide EA support to the senior leadership team of 3, along with overall support for a small, tight-knit team.
You will be responsible for delivering high-quality, business-aligned administration support across the below areas:
Executive Assistance - 70% of role
- Managing diaries, coordinating meetings, and coordinating travel arrangements
- Assisting with the planning and coordination of client events
- Formatting, editing and collating client and internal documents
- Opening matters and preparing draft engagement documents
- Facilitating and supporting employee induction progress for new team members
- in Melbourne.
- Other tasks as directed by the Directors supported by this position
- Provide back-up support to other Executive Assistants in the team
- Participate in identifying and implementing continuous improvement initiatives
Office Management - 30% of role
- Assisting with front of house and visitor experience - meeting and greeting visitors and booking/tidying meeting rooms
- Supporting interstate visits to the Melbourne
- Arranging and tidying up in-house catering for client meetings
- Ordering and maintaining stationery and kitchen supplies
- Handling incoming and outgoing mail and courier services
- Organising Melbourne team functions including team lunches
- Maintaining building access and security register and liaising with landlord on maintenance requests
- Providing basic IT and AV trouble shooting in consultation with the IT team
The successful candidate:
You are a seasoned EA with at least 5 years experience in a similar role. You will have worked in a professional services or legal environment and have a strong understanding of what a role of this nature requires, both practically and from an emotional intelligence standpoint:
- Demonstrated EA experience in professional services environment - legal firm exposure highly regarded
- Excellent attention to detail and accuracy with high quality standard
- Client services mindset and strong team player
- Ability to handle competing demands and different work styles of the people supported by this position.
- A positive, can-do attitude with the passion and drive to ensure the office and team are looked after
- Problem solver and demonstrates initiative
- Excellent communication skills – able to effectively and confidently communicate with a range of different people, including clients
- Experience handling sensitive and confidential information with discretion
