Key Responsibilities:
Office Administration & Reception:
  • Warmly greet employees and visitors, ensuring a positive experience.
  • Act as the primary contact for clients, suppliers, and visitors, offering hospitality.
  • Maintain registers for Fleet Vehicle, Business Licences, Email groups, and NSW Keys.
  • Coordinate key card access and manage related registers.
  • Liaise with Colliers International for maintenance and repairs.
  • Organize and store sales brochures for accessibility.
  • Manage daily mail operations, including collection, distribution, and posting.
  • Professionally answer incoming calls and manage messages promptly.
  • Coordinate courier services, including express post deliveries.
  • Ensure office supplies and equipment are stocked and operational.
Additional Office Administration
  • Arrange ad hoc travel and accommodation needs.
  • Maintain cleanliness and order in common areas such as the kitchen, meeting rooms, and bathrooms.
  • Direct daily cleaning services as required.
  • Ensure kitchen supplies are well-stocked, especially for Monday mornings.
  • People & Culture Office Administration:
  • Support administrative tasks and reporting for People & Culture programs.
  • Assist with Employee Engagement, Breakthrough Culture initiatives, Recruitment & Onboarding, Learning & Development, Performance Management, Workforce Planning, Safety, and HR Policies.
  • Coordinate and support People & Culture Events, including monthly lunches, birthday celebrations, Safety Day, People Day, and Breakthrough Workshops.
  • Manage ordering and allocation of Personal Protective Equipment (PPE) and uniforms.
  • Serve as the Safety Warden for the site.
Skills & Experience:
  • Excellent communication skills, both verbal and written.
  • Ability to maintain strict confidentiality.
  • Strong customer focus with a service-oriented approach.
  • Proficiency with Microsoft Office applications and comfortable with Excel.
  • Numerically competent with a strong attention to detail.
  • Comfortable with technology and adaptable to learning new systems and applications.
  • Effective negotiation and organizational skills.
