Client Details

A leader of quality and fresh products, our client has a national footprint and great reputation. Recognised for quality in product and service whilst maintaining a collaborative and transparent working culture, they are seeking to appoint an Administration Manager into one of their key sites with a workforce of around 70 staff, someone with a high attention to detail and strong coordination ability.

The Administration Manager will lead from the front in terms of best practice, particularly when navigating SAP. 

Description 

To maintain and control all administration duties for the site in accordance with organisational policies and procedures.

  • Prepare reporting, participation in and minuting of site management meetings and activities.
  • Ensure regular and ad-hoc site administration activities are effectively performed.
  • Update monthly Safety Reports with hours worked information for both permanent and contract labour.
  • Perform gate security checks on visitors to site;
  • Manage ingress of trucks to site;
  • Greet and manage visitor entry to Admin and ensure site access compliance through Rapid system; and
  • Answer main phone line.
  • Assist in the monthly stock take;
  • Track/Record CO2, Bulk Oil in line with discharge; and
  • Generate weekly production related reports and update Site/Finance Team.
  • Purchase and manage supply of non-production consumables; and
  • Monitor expenditure in line with annual budget.
  • Assist the Finance Team with reconciliation of Sub-Contractor Spend, OT & Head Count review;
  • Track weekly Direct labour spend; and act as the key site contact.
  • Prepare wage payroll and ensure payroll adheres to the policies and procedures;
  • Verify and prepare payments to Labour Hire companies; and assist site with payroll queries.
  • Raising POs for contractors / other consumable purchases;
  • Create, administer, and receipt purchase orders and work orders as requested; and liaise with Accounts payable team at Head office on any discrepancies.

Profile
  • Strong administration/office management skills
  • Strong people skills and ability to engage with all levels of staff
  • Excellent time management and organisational skills
  • Strong proficiency with Microsoft Office software including Word, Outlook and Excel
  • Experience using ERP SAP
  • Experience with inventory management in a manufacturing environment
