Key responsibilities of the role are as follows:

  • Timely response to all lease administration enquiries
  • Ensuring issues are tracked and managed to satisfactory resolution in a timely manner
  • Professional, accurate & timely communication to Lessors and all stakeholders
  • Ensuring site records are accurate and lease obligations fulfilled
  • Audit of lease terms on SAP and ensure accuracy, highlighting any training requirements or gaps
  • Review and approve weekly and monthly rent roll reports
  • Managing and resolve lessor breach notices and disputed rent claims
  • Responding to escalated requests for assistance from Lease Management, Including but not limited to, analysis and interpretation of lease clauses and conditions and providing information and direction where required, on rent payment issues, status of tenure, etc.
  • Review portfolio to identify sites at risk and portfolio opportunities as a consequence of lease expiry, lease breaks, notice periods, notifying and providing appropriate recommendations to management.
  • Processing of invoices, Purchase Orders and packs for the portfolio
  • Ensuring all internal processes followed for procurement, accounts payable, etc. and Monitors maintained at all times
  • Providing guidance and assistance and specialist property advice to team members
  • Provide regular, concise and accurate reporting on the status of lease admin issues, including a review of reports provided by Lease Management to ensure all work in progress is being actioned and the required performance and outcomes achieved

    • Tertiary qualifications and/or specialist knowledge in Real Estate / Property
    • Minimum two years’ experience working in Lease Administration 
    • Experience working with a large, high volume property portfolio with hundreds if not thousands of sites
    • Understanding of complex lease document terms and conditions
    • Portfolio management experience
    • Solid analytical / problem solving skills
    • Proficiency in MS Office suite including Excel, Word, Outlook
