Client Details

My client a global organisation based in Macquaire park are currently looking for an experienced Executive Assistant to support their Dynamic executive team.

Supporting the Global MD and Executive Team your day/week may consist of.. 

  • Provide diary management and general secretarial support.
  • Coordinate and organise all Global (or EX CO) meetings and manage work streams.
  • Travel bookings and itineraries.
  • Expense reconciliation.
  • Organise corporate and staff events.
  • Assist with the management of working relationships between the Global members and the Group Managing Director.
  • Prepare and circulate Global Communication as directed by the Group MD.
  • Taking minutes during early Executive Committee (ExCo) meetings (currently Tuesday morning 6.30am; and Wednesday 7am, via Teams
  • Schedule meetings for any current and new Global Committees, as required.
  • Prepare and distribute agendas and papers.
  • Attend all meetings and manage minutes and tasks.
  • Document and coordinate all key actions and manage the process for quarterly updates to be provided to the Global Executive.

  • Document and Corporate Information Management
  • Manage the production of the Annual Report, Quarterly Investor reports and other documentation and publications as required.

About you

  • Minimum 6 years’ experience in a Senior Administration, Executive Assistant or Office Management role reporting to a Group or National CEO/MD or equivalent.
  • Experience working with investors.
  • Highly organised with attention to detail.
  • Experience producing key publications and information.
  • Experience in managing a budget.
  • Advanced skills in MS Office, including Word, Excel, PowerPoint and Outlook.
  • Numerate with ability to create and maintain statistical business data.
  • Skilled in establishing systems and processes that minimise risk and maximise efficiencies.
  • Experienced in document management and formatting.
